Position Overview:

The Event Planning & Management, Senior Specialist is responsible for leading the strategy, planning, and execution of internal and client-facing events that enhance workplace experience, strengthen brand presence, and support business objectives across our IT Services organization.

Operating within the Workplace & Facilities function, this role ensures seamless delivery of events across corporate offices, innovation hubs, and hybrid environments. The Senior Specialist will drive operational excellence, governance, vendor partnerships, and continuous improvement across all event programs while aligning with corporate standards, compliance requirements, and cost optimization goals.

This role requires a strategic thinker with strong operational execution capabilities, cross-functional leadership skills, and experience managing events within a corporate or technology-driven environment.

Key Responsibilities:

Strategic Leadership:

  • Develop and execute a comprehensive workplace events strategy aligned with corporate, HR, and business unit objectives.
  • Establish scalable event frameworks and standards across regional offices and global locations.
  • Define KPIs to measure event effectiveness, employee engagement impact, ROI, and cost efficiency.
  • Lead continuous improvement initiatives to enhance event quality, sustainability, and innovation.
  • Serve as the subject matter expert (SME) for workplace and corporate events within the organization.
  • Identify emerging trends in corporate, hybrid, and technology-enabled events.

Event Management:

  • Lead end-to-end execution of internal and external events, including town halls, leadership summits, client engagements, workplace activations, and cultural initiatives.
  • Oversee logistics including venue coordination, A/V, IT infrastructure setup, security, catering, branding, and facilities readiness.
  • Manage onsite event operations and troubleshoot real-time issues.
  • Ensure compliance with health & safety, security, and IT standards.
  • Develop event timelines, run-of-show documentation, and contingency plans.
  • Support hybrid and virtual event integration in collaboration with IT teams.

Event Planning & Optimization:

  • Standardize event intake, planning workflows, and resource allocation processes.
  • Develop event playbooks, templates, and SOPs for consistency and scalability.
  • Implement technology tools for event registration, tracking, and analytics.
  • Optimize space utilization within corporate offices for events.
  • Drive cost optimization initiatives through forecasting, budgeting, and vendor consolidation.
  • Conduct post-event analysis and apply lessons learned to future planning.

Cross-Functional Collaboration:

  • Partner with HR, Marketing, Communications, IT, Security, and Business Leaders to align event objectives.
  • Support executive leadership events with high-touch coordination and confidentiality.
  • Collaborate with Real Estate and Facilities teams to ensure venue readiness and compliance.
  • Work closely with IT teams to support technical infrastructure needs (A/V, connectivity, digital signage).
  • Align with Corporate Communications for branding and messaging consistency.
  • Coordinate with Finance for budgeting, procurement, and expense management.

Governance & Reporting:

  • Establish governance frameworks for event approvals, budget controls, and compliance.
  • Track and report on event performance metrics, cost savings, and operational KPIs.
  • Ensure adherence to corporate procurement policies and risk management protocols.
  • Maintain documentation and audit-ready records for contracts, insurance, and compliance.
  • Develop executive-level dashboards and reporting summaries.
  • Monitor sustainability and ESG considerations in event execution.

Vendor and Asset Management:

  • Manage relationships with event vendors, venues, caterers, A/V providers, and logistics partners.
  • Negotiate contracts and service-level agreements (SLAs).
  • Develop preferred vendor programs to improve service consistency and cost efficiency.
  • Track and manage event-related assets (furniture, technology, branding materials, digital equipment).
  • Conduct vendor performance reviews and maintain scorecards.
  • Oversee inventory management of event supplies and materials across locations.


Preferred Skills & Certifications:

  • Certification such as CMP (Certified Meeting Professional) or CFM (Certified Facility Manager).
  • Experience in global event coordination across multiple regions.
  • Familiarity with ESG and sustainable event planning principles.
  • Experience working in an IT Services or technology consulting organization.
  • Knowledge of procurement and contract management systems.
  • Experience supporting executive-level events.

Required Qualifications:

  • Bachelor’s degree in Event Management, Hospitality, Business Administration, Facilities Management, or related field.
  • 12-16+ years of experience in corporate event planning within a technology or professional services environment.
  • Experience supporting workplace, facilities, or corporate services functions.
  • Strong budget management and vendor negotiation experience.
  • Experience managing hybrid and virtual event environments.
  • Knowledge of workplace operations and corporate real estate environments.
  • Proficiency with event management software and Microsoft Office/Google Workspace.
