Objectives of the Position

• Own and drive end-to-end Import & Export operations execution for Malaysia, ensuring seamless coordination across all stakeholders.
• Lead Operational Vendor Management (OVM) for 4PL and 3PL, ensuring delivery of agreed service levels, KPI performance, and operational excellence.
• Ensure strict governance and enforcement of SOPs, maintaining high discipline in execution by service providers.
• Provide strong operational control, visibility, and proactive risk management to ensure uninterrupted shipment flow.
• Drive performance improvement, operational efficiency, and service provider accountability in line with business expectations

Main Areas of Responsibilities and Key Activities

1. End-to-End Import & Export Operations Ownership

• Take full accountability for execution and coordination of all import and export shipments for Malaysia operations.
• Act as the central control tower managing shipment flows across 4PL, 3PL, and internal stakeholders.
• Ensure timely and accurate execution of all shipment activities in line with agreed delivery timelines.
• Proactively monitor shipment status and anticipate risks, delays, and bottlenecks, ensuring early intervention.
• Ensure high level of operational discipline, tracking, and follow-through across all shipments.

2. Operational Vendor Management (4PL / 3PL Governance)

• Lead governance and oversight of 4PL and 3PL service providers, ensuring adherence to BASF operational standards.
• Drive vendor accountability for execution quality, responsiveness, and service performance.
• Ensure all vendors operate strictly with agreed SOPs, processes, and performance expectations.
  • Act as escalation point for operational issues and performance gaps, ensuring timely resolution.
  • Lead alignment with vendors on process changes, service expectations, and continuous improvement initiatives.

3. KPI Management & Performance Control

• Own and drive end-to-end KPI monitoring and performance tracking for all IE operations.
• Ensure timely, accurate, and complete submission of KPIs and operational reports from 4PL and 3PL.
• Validate data integrity and ensure consistent reporting standards across stakeholders.
• Analyze performance trends and identify gaps, risks, and improvement opportunities.
• Lead performance review discussions with service providers and ensure closure of performance gaps.

4. Reporting, Visibility & Management Updates

• Ensure strong operational visibility across all shipments and performance metrics.
• Consolidate and deliver clear, structured, and management-ready reports (weekly/monthly).
• Provide insight-driven updates, highlighting key risks, issues, and mitigation actions.
• Establish and maintain transparent reporting frameworks and dashboards for operational tracking.

5. Issue Management, Escalation & Risk Control

• Take ownership of critical operational issues and disruptions, ensuring coordinated resolution.
• Drive structured root cause analysis and corrective action implementation with 4PL/3PL.
• Escalate major risks and issues to management with clear impact assessment and mitigation plans.
• Maintain robust tracking of issues, actions, and resolution effectiveness.

6. SOP Compliance & Operational Governance

• Enforce strict adherence to BASF SOPs and operational frameworks across all service providers.
• Perform regular monitoring to ensure process discipline and consistency in execution.
• Identify gaps in SOP adherence and drive corrective actions with vendors.
• Support continuous improvement and refinement of SOPs and operational governance frameworks.

7. Continuous Improvement & Operational Excellence

• Identify and drive process improvements to enhance efficiency, reliability, and execution quality.
• Lead initiatives to reduce operational delays, errors, and rework across the shipment lifecycle.
• Promote best practices, standardization, and process optimization.
• Support digitalization and automation initiatives to improve operational visibility and reporting efficiency.

Requirements

Education: Min Diploman in Logistics, Supply Chain, Business Management, or related field

Minimum 3–5 years of experience in:

• Import & Export operations
• Logistics coordination and end-to-end shipment execution
• 4PL / 3PL vendor management

Proven experience in:

• Managing complex operational environments with multiple stakeholders
• Driving performance management and service provider accountability

• Strong expertise in:

  • End-to-end Import & Export operations
  • Logistics execution and coordination

  Strong capability in:

  • Operational control and execution management
  • KPI tracking, reporting, and performance analysis

Experience in SAP or equivalent logistics systems preferred
