IT Services Department

In IT Services we design, build and maintain all of the corporate technology our workforce needs day-to-day, so they can in-turn deliver great products to our customers. We concentrate on delivering modern IT Services, offices and technology which enables our workforce to be more mobile and productive, where colleagues can take pride in owning our services end-to-end, enabling the business to work seamlessly and with limited fiction.

From design through to delivery and after-care, we work with the latest technologies on a global scale and rely on our team to overcome complex and fulfilling challenges at scale.

This includes maintaining key services such as; Corporate Identity, Infrastructure, Network, Voice, Endpoints, Collaboration Tools, Video Conferencing, IT Support, Asset Management and IT Offices Operations.


The Role

We are seeking a strong leader for our Asset Management Team, where your responsibility is ensuring all of our hardware and software across the company and the world is accounted for and managed efficiently and accurately by you and your team members.

The IT Asset Management - Manager role will help define and deliver the strategy for the management of all IT assets within IT Services. This will include end user hardware, infrastructure equipment, digital asset management and software licensing. This role will define, implement and maintain policies, as well as create processes and standards within the business and will reduce wastage and inefficiency.

Booking.com has a legal responsibility to comply with corporate and auditing regulations, one of those elements is accurate Asset Management. Therefore this role is critical to ensuring our business operates in a sustainable way and that there is full control of our assets, and they are always accounted for throughout their lifecycle, that they show the correct status and that we pass any compliance related obligations.

Working within the IT Services Department, the role will take ownership for a vast range of assets within the booking.com estate, ensuring inventory is accurate, correct procedures are created and adhered to, teams within ITS can easily interact with the assets and the configuration management database is up to date.

What you’ll be doing:

  • Responsible for the supervision and development of the hardware and software asset management team and analysts.
  • Motivate, provide direction and offer guidance to the team, develop talent and hire where appropriate.
  • Act as a mentor and coach.
  • Be the subject matter expert in all matters relating to hardware/software contracts and license entitlement.
  • Maintain an accurate inventory system to track assets and software assets and utilisation including subscriptions and services.
  • Provide management reports on compliance, risks and trends requiring action.
  • Responsible for supplying up to date knowledge and understanding of license agreements working with existing and new suppliers to assess relevance and impacts of change.
  • Educate users and promote licensing best practice.
  • Ensure licensing implications of new technologies are identified through the project pipeline and are risk managed and appropriate financial provisions made.
  • Input to the design and implementation of IT policies, methodologies, tools and standards.
  • Lead response to external vendor licence audit where applicable and perform audits on assets using various systems.
  • Responsible for the compliance and governance of the open-source software being used within the organisation.
  • Manage the requests for introduction of new software requirements and contracts to meet the business needs on a weekly basis.
  • Provide monthly reports on products implemented.
  • Create and maintain a software asset management register.
  • Collaborate with various teams across business to ensure vendors are meeting their regulatory obligations.
  • Create and maintain pro-active license compliance audit of existing software in use.
  • Manage the deployment of software, ensuring it is managed efficiently across the business within project requirements.
  • Ability to negotiate volume discounts and reduce license redundancy to reduce costs.
  • Liaising with the global business regarding global software.
  • Responsible for ensuring vendor and legal compliance at all times.
  • Responsible for streamlining the software and tools used within the role.
  • Responsible for producing policies and governance regarding license procurement, deployment, documentation and decommissioning
  • Own and manage the budget, reporting on actual vs budget spend.
  • Define and deliver the Hardware & Configuration management roadmap for both desktop, mobile, digital, infrastructure, and licensing assets.
  • Coordinate with departments and stakeholders to validate the accuracy of asset information.
  • Ensure equipment lifecycle policies are maintained and actioned.
  • Evaluate and improve existing asset management systems, as well as establish, evaluate, implement and optimise new processes and tools to ensure the integrity and accuracy of IT assets and data.
  • Motivate, provide direction and offer guidance to the team, develop talent and hire where appropriate.

What you’ll bring:

  • Good Experience as an Asset Manager
  • Good Experience within ServiceNow Administrator
  • Experience managing assets for a medium or large company
    • A Minimum of 3 years proven experience of managing IT assets
    • Previously worked in an IT Service Environment
    • Good interpersonal skills
    • Strong ability to perform assigned tasks independently with little supervision.
    • Strong vendor management skills.
    • Experience of maintaining a large asset database.
    • The ability to showcase new ideas and bring adoption.
    • Proven analytical and problem-solving abilities.
  • Proven ability and experience in executing strategic asset management operating models and processes successfully.
  • Significant experience of ITIL methodology and use of methodology to deliver operational and strategic outcomes.
  • Extensive experience in IT Asset and License Management gained in organisations where IT and IT assets are considered critical to their successful operation and transformation.
  • Ability to analyse and apply; technical knowledge to IT problem solving, staff management knowledge to manage resources and planning for additional work.
  • Ability to interface at all levels within IT and the customer environment to develop relationships and opportunities and manage problems.
