Responsibilities

  • Provide comprehensive administrative and operational support to the Managing Director, ensuring all secretarial and organizational requirements are effectively met.
  • Handle confidential correspondence, manage travel arrangements including flights, visas, and hotel reservations with a high level of accuracy and discretion.
  • Coordinate and schedule meetings, prepare agendas, and record minutes in a timely and organized manner.
  • Deliver translation and interpretation support for the Managing Director (English – Vietnamese) to facilitate clear and effective communication.
  • Act as a key liaison between the Managing Director and external parties, including suppliers and government authorities.
  • Oversee driver management, including scheduling transportation, coordinating pick-up and drop-off arrangements, and ensuring smooth daily mobility.
  • Assist in hosting guests, coordinating reception logistics, and supporting business travel arrangements.
  • Undertake special projects and ad-hoc assignments as required, maintaining flexibility and professionalism.
  • Handle sensitive and confidential information with the utmost discretion and integrity at all times.

Requirements

• Able to work independently while also contributing effectively as a team player.
• Demonstrates initiative, strong presence, and effective decision-making with good prioritization skills
• Strong verbal and written communication skills in English.
• Excellent organizational and time management skills, with the ability to prioritize tasks efficiently.
• Proven ability to multitask, solve problems, and meet tight deadlines.
• Mature, detail-oriented, and well-organized, with at least 2 years of relevant work experience.
• Professional in both appearance and attitude.
• Proficient in Microsoft Office with strong overall computer literacy.
• Proficient in using AI tools.
• Proactive, self-motivated, and able to perform well under pressure.
• 5 years of experience in Office Administration
• At least a Bachelor's Degree in Secretariat, Business Administration, English or equivalent.
