Role Context

Support to develop and administer sales administration/ sales support plans and processes to enhance customer satisfaction, effectively support sales teams and achieve successful project implementation in line with business strategy, sales objectives, Group guidelines and policies

Key responsibilities

  • Execute sales administration/ sales support plans and processes to support sales teams and support processing of sales transactions
  • Lend support for administration and planning of sales contracts as per specifications and expectations
  • Gather information and customer data to support sales teams with identification/ qualification of leads and preparation of quotations and contracts
  • Prepare commercial documentation such as sales contracts and maintenance agreements to support sales
  • Handle queries on stock and shipment of orders and deal with customers/ sales teams including informing customers about shortages, expected delivery dates, price changes, etc.
  • Follow up on orders and resolve complex problems related to orders while interacting with sales teams
  • Examine and consolidate feedback from post implementation review and prepare reports on customer complaints, delivery/ service problems, customer satisfaction, etc.
  • Prepare and compile reports and statistics for supporting sales teams in conducting business reviews
  • Update sales price tables, determine sales premiums and commissions and prepare reports and statements regarding sales efficiency
  • May provide functional advice or training to less experience positions
  • Support project implementation, deployment of systems/solutions, and process improvement
  • Support pre- and after-sales activities
  • US Embassy Management
    • Manage the end-to-end processing of US Embassy passport shipments.
    • Coordinate shipment preparation, documentation, collection and delivery requirements.
    • Ensure all passport shipments are handled accurately, securely and within the agreed service timelines.
    • Maintain proper records and provide regular updates to relevant stakeholders.
    • Follow up promptly on any operational, billing or delivery issues.
  • Quote Management
    • Receive and process quotation requests from the Sales team and customers.
    • Prepare accurate and competitive quotations within the agreed turnaround time.
    • Coordinate with the Pricing team for special-rate requests and approvals.
    • Follow up on outstanding quotations and record the outcome of each opportunity.
    • Track quotation conversion rates, lost-business reasons and customer feedback.
    • Maintain accurate quotation data and provide regular performance reports to the Commercial Manager

Minimum Requirements

Education Level – Bachelor’s Degree or Equivalent Experience / Qualification

Experience Level – more than 2 years

Fluent in English & French
