What You´ll Do
- Executive Support & Calendar Management:
- Provide comprehensive administrative support to the Vice President.
- Manage complex calendars, meeting schedules, and appointment arrangements.
- Coordinate domestic and international business travel, including itinerary planning, transportation, accommodation, and related logistics.
- Prepare meeting materials, presentations, and documents as requested.
- Meeting Coordination & Follow-up:
- Organize leadership meetings and business reviews, including scheduling, venue arrangements, and agenda preparation.
- Attend meetings when required, take minutes, distribute meeting records, and track agreed action items.
- Coordinate follow-up activities to ensure completion of administrative and organizational tasks.
- Communication & Coordination:
- Serve as a key contact point between the VP and internal stakeholders.
- Facilitate information flow and communication across departments and teams.
- Coordinate meeting arrangements and logistics with local, regional, and global stakeholders.
- Bachelor’s degree, 5+ years of Executive Assistant or senior administrative support experience, preferably in a multinational company.
- Fluent in English and Mandarin, with superior writing ability and exceptional interpersonal skills to effectively engage senior leadership and regional stakeholders.
- Proven ability to align with an executive’s dynamic schedule, delivering rapid responses and demonstrating strong problem-solving capabilities in a fast-paced environment.
- Highly detail-oriented with a demonstrated ability to manage multiple priorities, complex calendars, and sensitive administrative tasks simultaneously.
- High integrity and discretion; maintains a humble yet poised professional demeanor.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Excel, and Teams.
- Strong coordination and interpersonal skills with the ability to work effectively across diverse teams.
- Ability to work independently, maintain confidentiality, and exercise sound judgment.
