Your Role

The CRE Site FM Specialist is responsible for ensuring the optimal functionality, safety, and efficiency of a corporate real estate site's physical assets and services by managing technical operations, overseeing vendors and maintenance, ensuring compliance with regulations, and aligning facility management activities with the organization's strategic and financial objectives. Here is a detailed breakdown of core responsibilities:

Key responsibilities in your new role

  • Daily Site Operations
    • Serve as the first point of contact for facility issues and service requests at the site.
    • Responsible for overall condition of buildings, interior spaces, grounds, and critical systems; escalate issues as needed.
    • Manage and coordinate day to day soft services (cleaning, security, etc.) with service providers.
  • Facility Management
    • Assume overall responsibility for site facility management.
    • Responsible for creating and updating work orders; track progress and closure.
    • Coordinate scheduled preventive maintenance and reactive repairs with external vendors.
    • Escort and supervise contractors during on site work; ensure adherence to safety and site rules.
    • Conduct basic troubleshooting and minor repairs within skill level(e.g., light fixtures, door hardware, basic HVAC filter checks).
  • Health, Safety & Compliance
    • Support implementation of health, safety, and environmental procedures at the site.
    • Conduct regular site walks to identify hazards, housekeeping issues, or non compliance; raise and follow up on corrective actions.
    • Ensure contractors follow permit-to-work, hot work, and other safety procedures as required.
    • Maintain and update records such as inspection logs, certificates, and safety checklists.
  • Space & Workplace Management
    • Assist with office moves, additions, and changes, including furniture moves and desk setups.
    • Responsible for maintaining accurate floor plans, seating charts, and room allocations (as directed by Facilities or Workplace team) and meeting room readiness, common area upkeep, and basic work space improvements.
  • Vendor & Service Coordination
    • Support to coordinate daily activities of cleaning, security, landscaping, and other facility service vendors.
    • Monitor vendor performance on site, report issues, and provide feedback to the Facility Manager.
    • Verify completion of services against scope (e.g., cleaning checklists, maintenance tasks) and support invoice validation with evidence.
  • Inventory & Supplies
    • Monitor stock levels of facility-related supplies (cleaning supplies,light bulbs, basic tools, PPE, etc.).
    • Support to place replenishment requests or purchase orders as per company process and budget approval.
    • Maintain orderly storage areas and accurate inventory records.
  • Emergency Response & Preparedness
    • Act as an on site contact for emergencies (e.g., fire alarms, equipment failures, leaks).
    • Support execution of emergency procedures and evacuation drills.
    • Escalate critical incidents to the Facility Manager and relevant internal stakeholders promptly.
  • Reporting & Documentation
    • Maintain logs for incidents, maintenance work, inspections, and utilities readings (where applicable).
    • Provide periodic site status updates, including ongoing issues, completed work, and upcoming activities.
    • Support data collection for KPIs, audits, and internal/external inspections.

Qualifications And Skills To Help You Succeed

  • Education
    • Bachelor’s degree
  • Work Experience
    • 1–3 years hands on facility management / building maintenance / site operations experience
  • Technical Skills
    • Building systems: HVAC, electrical, lighting, fire safety
    • Basic trouble shooting & minor repairs (lights, doors, HVAC filters, etc.)
    • Work order, preventive maintenance & repair coordination
    • MS Office (Excel, Word, Outlook)
    • Documentation: logs, checklists, reports, records
  • Language
    • Fluent English (written + spoken)
  • Soft Skills
    • On site problem solving & emergency response
    • Strong vendor & cross team coordination
    • Detail oriented, organized, follow through
    • Proactive, independent, reliable
