Responsibilities

What we're looking for:

To ensure customers receive their stock on time and in full, while effectively managing Key Account staff. Responsible for maintaining all vehicles in a roadworthy condition at all times, and for overseeing budgets and controlling costs to ensure operational efficiency.

Accountabilities:

Cost:

  • Ensure the Distribution overheads are within AOP, Contract Labour and Overtime.
  • Demonstrated expertise in budget management, regularly analyzing the budget model, making budget submissions and closely monitoring expenses with timely deviation handling.
  • Effective management of overtime costs within budget.
  • Effective management of designated AOP category to ensure that business remains within budget.

Service:

  • Ensure compliance to service levels agreed pertaining to order fill rate.
  • Maintain service levels agreement with suppliers to optimize the supply chain.

Quality:

  • Ensure correct stock freshness is adhered to for orders to specific customer groups and locations, as per the specifications per customer.
  • Manage the retrieval of obsolete stock from within the CDC by assigning the appropriate resources to this activity.

People:

  • Responsible to deliver agreed targets (KPI’s) relating to receiving area performance.
  • Managing direct reports performance and take corrective action (as and when required)
  • Implement Monthly Site town hall
  • Daily Driver meetings (15min)
  • Managing staff performance and take corrective action.
  • Identify training needs for distribution staff.
  • Ensure sound management policies and practices are in place and adhered to.
  • Manage contract labour (where justified) and ensure source documentation is validated on hours worked/overtime etc.
  • Plan and set shifts for Warehouse employees.
  • Ensure disciplinary action is taken where recurring deviations to standards are found

Cost for the site:

  • Manage cost within the AOP.
  • Ensure accurate forecasts submitted for P4F and P9F
  • Manage Pallet costs within targets set
  • Ensure no outstanding pallets to be written off
  • Manage overtime by proper planning.
  • Manage absenteeism < 2%.
  • Ensure limited use of contract labour (only where justified and approved by HR)
  • Manage all distribution assets.
  • Ensure no outstanding PODs (Proof of Delivery) or Credit Notes (CNs)

Service for the site:

  • Ensure 95% Service Level (Fill rate)
  • Ensure 95% On time Delivery
  • Ensure accurate and timely communication of delays to pro-actively manage customers
  • Report on % departures by 7AM daily
  • Track Cut cases % (cases cut from order versus original order processed) with loss tree analysis monthly

Quality for the site:

  • Ensure housekeeping and hygiene practices inside/outside facilities (AIB) to ensure a rating of >700
  • Ensure 100% adherence to Health, Safety and AIB procedures and regulations.
  • Ensure on time submission of Key Control quarterly feedback and sample results.
  • Manage and track all non conforming quality issues for escalation and resolution

Safety:

  • Fleet Safety control tower feedback, actions and disciplinary

SDCA:

  • Define department using SIPOC Model
  • Clearly defined PI’s and KPI’s and process maps to task levels for the department
  • Effective SOP’s for all critical task’s
  • Sound and effective SLA’s.
  • Effective routines and Review’s

OEP:

  • Meeting schedule / All Departments – Meeting matrix
  • Reminders – structure for visibility and adherence
  • Drive the Operational Excellence Program (OEP), by regularly reviewing SOPs for all critical tasks and managing associates’ routines.
  • Achieve and maintain OEP certification
Qualifications

Experience:

  • The purpose of this section is to identify the requirements of the job. State the minimum qualifications, knowledge and years of experience required to qualify for the position.
  • Logistics or Supply Chain Diploma/Degree
  • Minimum 5 years relevant experience in warehousing and distribution.
  • People Management
  • Think of competencies rather than qualifications, such as managerial or leadership skills, flexibility, dealing with ambiguity, working in a matrix organization, etc.
  • Good communication skills
  • Solid knowledge of EWM or WMS
