JOB PURPOSE
This role provides the administrative support for numerous Beauty & Wellbeing R&D directors, across functions like Packaging, Processing and CTI.
This role requires interaction with a large number and wide range of people within Port Sunlight and the B&W business group/business units. The incumbents will require high levels of skill in managing multiple complex diary and travel schedules of Directors with different working styles and needs. They will be able to interact confidently with senior leadership and to present confidently. Close teamwork and seamless collaboration with the other PA roles is essential to provide support in periods of high demand and cover of administrative support during holidays.
RESPONSIBILITIES
Organising international travel, including preparation of itineraries, visas & other requirement documentation
Organisation and administration of local meetings & visitors – coordinating all logistics i.e. attendees, timings, equipment and rooms.
Coordination of the agenda, pre-reads and logistics for key meetings and events
Management of out of office requirements
Effective connection within the PA community across Unilever & B&W network
Leading forward planning of meeting schedule, ensuring agenda and meeting content are delivered on time in full.
Organising international meetings using knowledge of technologies available to deliver the most appropriate solution
Preparation of expenses and invoice processing
Pro-actively tackling issues related to administrative processes to ensure speed and efficiency
Ownership of starter/leaver admin process for team
Supporting with budget management, raising purchase orders
ALL ABOUT YOU
This role requires proven strong experience as a Personal Assistant and experience working in a corporate environment and regional/global organisation. It requires high levels of discretion and absolute confidentiality.
Critically, the jobholder must be well organised, able to prioritise tasks of high complexity and have the ability to build relationships with an international network and key stakeholders across different levels internally and externally.
Excellent written and oral communication skills are important, plus experience in managing office processes and where necessary, developing new approaches to meeting changing needs.
The incumbent must be comfortable working in a virtual environment, embracing digital ways of working and using knowledge of the technologies available to proactively support the needs of a large population of Directors.
Candidates should have a high degree of maturity, self-confidence and have strong interpersonal skills, and the ability to build a strong ‘partnership’ with the entire BW RDLT.
Passion and evidence of being able to build capability and adoption of digital tools within the PA community and the Directorship being served.
Comfortable working with different types of structured data across HR (eg reporting lines) and finance (eg budget and cost centres) to maintain high standard of team data quality for the Director community and provide proactive insights and analysis.
Fully operational in all IT systems: Degreed, Travel, Expenses, SharePoint, Power BI, Workday beyond the usual Microsoft Office (Word, Excel and PowerPoint).
Accuracy, speed, proactivity, and an ability to ‘get things done’ are vital.

Recruitment Fraud
Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.
How is Unilever tackling this?
Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
